Administrative Assistant


We are seeking a highly organized and detail-oriented Accounting & Administrative Assistant to support our country administrative functions. The ideal candidate should have a solid understanding of accounting principles , strong administrative skills, and a proactive approach to problem-solving. Knowledge of legal and regulatory compliance would be a plus.

Main Responsibilities:

1. General Administrative Support:

  • Manage incoming company mail and parcels, ensuring proper distribution.
  • Scan, archive, and maintain company records following internal policies.
  • Handle administrative requests from various departments efficiently.

2. Accounting & Invoicing:

  • Record, store, and manage invoices in Excel, SAP , and other accounting systems.
  • Serve as a key contact between providers, the accounting department, and managers to ensure timely validation and follow-ups.
  • Assist with expense tracking and reconciliation.

3. Managerial & HR Assistance:

  • Support the management team with administrative reports, budget tracking, and documentation .
  • Assist in recruitment processes, including organizing interviews and maintaining candidate records.
  • Help ensure HR procedures align with legal requirements and company policies.

Key Skills & Qualifications:

  • Bilingual proficiency in English and French ; Spanish is a strong plus.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) ; experience with SAP is required .
  • Strong attention to detail, organization, and problem-solving skills.
  • Knowledge of HR and regulatory administrative compliance (RAC experience is a plus).
  • Ability to handle sensitive information with discretion and professionalism.
  • Familiarity with legal and compliance matters is a plus.
