KEY RESPONSIBILITIES

You will support the HR & Admin team in the administrative follow-up of projects in terms of HR and admin management.

  • Intern Recruitment Support: Assist in the recruitment process by posting job announcements, filtering applications, coordinating interviews, and maintaining accurate candidate records.
  • Facilities Setup and Asset Return for Employee Transitions: Manage the purchase, setup, and return of office facilities and equipment for new hires and departing employees, ensuring seamless integration into and departure from the workplace environment.
  • Personnel Administration Support: Provide support to employees on personnel administration matters, addressing their queries and concerns effectively.
  • Travel and Accommodation Arrangements: Assist in making hotel arrangements and booking air tickets for employees, ensuring cost-effectiveness and compliance with company policies.
  • Files Maintenance: Update and maintain various HR and administrative files, ensuring accuracy and confidentiality of information.
  • HR & Admin Activities Support: Assist in organising events, meetings, training, and other tasks as required.
  • Admin Officer Assistance: Assist the Admin Officer in managing daily office operations, ensuring the smooth functioning of administrative tasks.
  • Internal Administrative Processes Execution: Work closely with the team to implement internal administrative processes and policies, ensuring compliance across the organization.
  • Office Supplies Inventory Management: Act as a junior office manager by maintaining and updating office supply inventory, ensuring availability of necessary items for smooth operations.
  • Billing Inquiries and Payments Handling: Handle billing inquiries and payments efficiently, maintaining accurate records and ensuring timely processing.
  • Other tasks according to your ability and the company’s needs.


EXPERIENCE & EDUCATIONAL BACKGROUND

  • Education: Bac + 2/3, specialising in Human Resources or Administration.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and accuracy.
  • Good communication and interpersonal skills.
  • Proficiency in MS Office Suite and other relevant software.
  • Ability to multitask and prioritise tasks effectively.
  • Knowledge of administrative and HR procedures.
  • Problem-solving and decision-making abilities.
  • Foreign language(s): Fluent in both French & English, Chinese is a plus.
