Communicate daily with shipping lines, carriers, truckers, customs brokers, warehouses, overseas agents, vendors, and customers.
Prepare, review, and maintain all required import and export documentation, including Bills of Lading, commercial invoices, packing lists, arrival notices, and other shipping documents.
Monitor shipments proactively and provide customers with accurate and timely status updates.
Coordinate with customs brokers and relevant authorities to support smooth and compliant import/export processes.
Enter and verify vendor invoices, freight charges, and operational expenses related to each shipment file.
Prepare customer billing and ensure all applicable charges are invoiced accurately and on time.
Track revenue, costs, and profit & loss (P&L) on a file-by-file basis from file opening through closing.
Review shipment profitability, identify discrepancies or unexpected costs, and take necessary follow-up actions.
Ensure all operational and financial information is accurately entered and maintained in the logistics system.
Follow up on missing invoices, supporting documents, outstanding costs, and billing items before closing shipment files.
Resolve operational issues, delays, documentation discrepancies, and billing differences proactively.
Maintain organized and complete shipment records in accordance with company procedures.
Work closely with operations, accounting, sales, and customer service teams to ensure smooth workflow and customer satisfaction.
Qualifications
1+ years of experience in freight forwarding, logistics operations, or a similar role is preferred.
Experience with road and/or ocean freight import and export operations.
Good understanding of FCL, LCL, Incoterms, shipping documentation, customs processes, and international transportation procedures.
Experience with shipment billing, cost entry, vendor invoices, and file-level profit & loss tracking is strongly preferred.
Strong attention to detail and ability to maintain accurate operational and financial records.
Excellent communication, problem-solving, multitasking, and organizational skills.
Ability to manage multiple shipment files simultaneously in a fast-paced and deadline-driven environment.
Strong customer service mindset and ability to communicate effectively with customers, vendors, carriers, and overseas partners.
Proficiency in MS Office and logistics/freight forwarding software.
Good command of English and French, both written and verbal.
